Privacy Policy

ARVnote is operated by Montrose Labs. This policy describes what we collect, why, and who we share it with. It is written to be read rather than to be technically unfalsifiable, so if anything here is unclear, ask us and we will explain it plainly.

1. Information You Give Us

When you create an account we collect your name and email address. If you sign in with Google, we receive your basic profile and email from Google rather than a password. When you run a report we collect the property addresses you search, the settings you choose, and any repair figures, comp adjustments or notes you enter.

2. Information We Collect Automatically

We record standard usage data: pages viewed, features used, approximate location derived from IP address, browser and device type, referring page, and the campaign parameters in a link you arrived through. When someone opens a report you shared, we log that the link was opened so the sender can see it happened.

3. Website Visitor Identification

We want to be direct about this one, because most policies bury it.

ARVnote runs a third-party visitor identification script from Leadsy (operated by Instantly) on our public marketing pages. It attempts to match visitors against commercially available business contact databases. When it succeeds, we may learn a visitor's name, employer, professional profile and business email address even though that visitor never filled in a form. We use this only to follow up with people who looked at ARVnote for their business, and we do not use it to build profiles of consumers or to target advertising.

If you would rather not be identified this way, email privacy@arvnote.com and we will suppress your details, or browse with a tracker-blocking extension, which blocks this script.

If we add another visitor identification provider, this section will name it before that provider is switched on.

4. Artificial Intelligence Processing

ARVnote uses AI models to select comparable properties, write report narratives, classify property condition and answer repair questions. The property details and the text of your questions are sent to our model providers to produce those results. We do not send your name, email address or billing details to them, and our providers do not train their models on data submitted through our account.

5. Who We Share Data With

We do not sell your personal information. We share it only with the providers needed to run the product:

  • Stripe for payments. Card details go to Stripe directly and never touch our servers.
  • OpenAI for the AI features described above.
  • Property data providers for listing, sales and public record data, which receive the addresses you search.
  • Mapbox and Google for maps, parcel imagery and street level photography.
  • Leadsy for the visitor identification described in section 3.
  • Postmark for transactional email such as report notifications and sign-in links.
  • Railway for hosting and database infrastructure.

We may also disclose information where the law requires it, or to protect our rights or the safety of others.

6. Cookies and Similar Technologies

We use cookies that are necessary for signing in and keeping your session active. We use first-party analytics to understand which parts of the product get used. We do not run advertising cookies and we do not sell audience data to ad networks. The visitor identification script in section 3 is the one third-party tracking technology we run, and it operates on our public marketing pages rather than inside your signed-in account.

7. Your Rights

Wherever you live, you can ask us to show you the personal data we hold about you, correct it, delete it, or stop using it for follow-up. Depending on your state or country you may also have the right to opt out of the sharing described in section 3 and to be told what categories of data we collected in the past year. Email privacy@arvnote.com and we will respond within 30 days. We will not treat you differently for exercising any of these rights.

8. Data Security

Traffic to ARVnote is encrypted in transit, and data is encrypted at rest by our hosting provider. Access to production data is limited to people who need it to operate the service. No system is perfect, and we will tell affected users promptly if we ever discover a breach involving their data.

9. Data Retention

We keep your account data and generated reports for as long as your account is active. If you delete your account, we remove your personal data and reports within 30 days, except where we have to keep records for tax or legal reasons. Property and market data that does not identify you may be retained in anonymised form.

10. Children

ARVnote is a business tool and is not directed at anyone under 18. We do not knowingly collect data from children.

11. Changes to This Policy

When we change this policy we update the date at the top. If a change materially affects how we handle your data, such as adding a new visitor identification provider, we will say so here before the change takes effect.
